Overview

The SmartRMS Records Management System is a comprehensive and integrated solution for the data collection, reporting and administrative requirements of law enforcement agencies. Used in combination with SmartCAD, the data initially entered into the CAD system by dispatch is available to all authorized users, eliminating redundant data entry, saving administrative time and increasing accuracy of data. The RMS efficiently records, indexes and tracks criminal and non-criminal related data. It can be used to generate monthly UCR reports that can be submitted electronically to state agencies. The use of relational databases offers superior speed and security, and allows multiple users and agencies to share common data for total community policing.

RMS Modules

Offense Reports

Offense Reports tracks reports online, allowing for paperless collection. The Mobile Offense Report also allows officers to complete reports in the vehicle without having to return to the station to do paperwork.

Case Management

Case Management tracks case details related to Offense Reports, including incident history and evidence records. The module allows external files to be attached to a case. Investigative teams are assigned and task lists are created in Case Management. In addition, case solvability can be calculated.

Arrest Reports and Warrant Tracking

Arrest Reports and Warrant Tracking records and tracks Arrest Reports, Warrants and Enforceable Civil Papers. Warrant details (such as date sent to judge, attempts to serve, and juvenile handling information) are also tracked. Like Offense reports, arrest reports can be completed by officers in the field using the Mobile Arrest Report module

Field Interviews

Field Interviews allows for the input of Field Interviews and Field Intelligence from officers, linking the information to geographical places, vehicles and Master Name Index records. The Mobile Field Interview module allows officers to complete and submit field interviews from their vehicles.

Evidence Records

Evidence Records manages the evidence chain of custody and integrates this information with the Offense Reporting module so evidence from crime scenes and search warrants can be created without redundant data entry.

Uniform Citation Management

Uniform Citation Management tracks the issuance of citation books to officers. Each citation is entered to track ticketing and account for citation numbers.

Master Name Index

Master Name Index contains mug shots and pictures, unlimited addresses, aliases, nicknames, occupation records, vehicle records, etc., all of which are linked to the person and provide data to the entire SmartCOP suite of software products.

Master Business Index

Master Business Index stores all information on businesses and provides this data to the entire SmartCOP suite of software products.

Permits and Registration

Permits and Registration tracks permit and registration information for Adult Entertainment, Bicycles, Concealed Handguns, Taxicab Drivers, and Weapons Purchases. Records are color coded for easy identification of the permit status.

Pawn Ticket and Pawn Hit

Pawn Ticket and Pawn Hit accelerates the recovery of stolen property, identifies burglars, and targets convicted felons who are selling firearms. When a pawn ticket is entered in the system, any pawn transaction that matches stolen items on Offense Reports or matches intelligence details on individuals in the Master Name Index is populated in the Pawn Hit module.

Traffic Crash

Traffic Crash creates traffic crash reports that include diagrams. It can be used in a mobile computer terminal with links to various data sources to reduce data entry and decrease report creation time.

Trespass Warnings

Trespass Warnings are recorded and tracked electronically. Information from the Master Name and Business Index is automatically pulled to complete the form.

Administration Modules

Crime Reporting

Crime Reporting manages and validates Offense Reports and Arrest Reports for easy creation and submission of crime data to the FBI.

Records Management Reporting

Records Management Reporting provides statistical reporting to analyze officer performance, call-taker peformance, target high crime areas and review agency statistics.

Charge Configuration

Charge Configuration allows you to set up charges for use in the Arrest Report and Offense Report modules. Charge details include charge level, degree, and UCR/NIBRS coding.
